Without understanding how to correctly set up QuickBooks, a person can easily end up with inaccurate reporting, the inability to reconcile accounts, and, frankly, a mess that has you pulling out your hair trying to untangle it all. If this sounds familiar, you're in the right place.

I get it. That's how my journey began as a managing director of a heart-centric nonprofit that I still believe in today. Part of my job entailed detangling the mess of several volunteers who did not realize that their approach to using QuickBooks had created the current mess of the books. (This included 1032 accounts in the chart of accounts! Yikes!) The auditor had to spend a tremendous amount of time recreating our financials on spreadsheets every year. Obviously, none of was this intentional.

Nonprofits are made up of mission-centered, well-intentioned volunteers who raise their hands to take a turn serving as the "treasurer." Although it's easy to know how much cash is in the bank account, if your QuickBooks transactions are not set up correctly, it's difficult to reconcile accounts or generate accurate reports, and, thus, you never truly know the financial health of your organization and it's difficult to create a budget. At the end of the fiscal year, the organization pays unnecessarily high bills for accountants and auditors to straighten out the bookkeeping in order to complete the annual filing or audit report.

I wrote "unnecessarily" because it doesn't have to be this way. Anyone who can use a computer and understands basic math, can learn how to set up and easily maintain QuickBooks and generate reports that a board of directors, accountant, and auditor needs.
